What information we collect

We never store credit card details of any kind but instead offer cheque and bank transfer facilities for payments using encryption via Santander business banking. No financial transactions are carried out via our website.

Any personal information that you provide by filling in forms on our website. This includes information provided at the time of registering an account or domain name, purchasing services from us or requesting further services. We may collect the following information to provide a better service or to assist us with client projects.

Details of any transactions you have with our business and of the fulfilment and administration of your orders such as MOT Test Certificate or mechanical repairs.

We also collect technical data and usage information such as your operating system, browser type, referring / exit pages and URLs, number of clicks and pages viewed in our server logs. This information is used mainly for security purposes and occasionally for marketing.

In the circumstances where we are acting as a data processor, we shall only act on the instructions of our client as the data controller. If you provide us with personal data about a third party (for example when registering an MOT booking at any of our MOT Stations on their behalf), you warrant that you have obtained the express consent from the third party for the disclosure and use of their personal data.

Where we store your personal data

The personal data that we collect from you will be stored on our servers inside the European Economic Area (“EEA”). By submitting your personal data, you agree to this transfer, storing or processing of data inside the EEA. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with the GDPR and our data protection policies.

Data retention

We only retain your personal data for as long as we need it to fulfil the purposes for which we have initially collected it, unless otherwise required by law. We will retain and use information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements as follows:

• Invoice data is kept for a minimum of 6 years as required under UK Law
• Log files are rotated every 12 weeks. However, anonymised data may be kept for longer.
• Website backup data will be kept for 1 year and only thereafter if a support plan is in place.
• Timeline backups – Daily backups spanning the last 30 days.

The Cambus MOT infrastructure and day to day file backups are kept for 12 months. Disaster Recovery Backups, Email Backups & Website Data is kept for 30 days.

In the rare event backups containing personal information are restored post-deletion, Cambus MOT will make every reasonable effort to ensure data that has been forgotten is not inadvertently restored and ensure all traces of data are removed within a maximum period of 180 days unless additional retention obligations apply.

MOT Booking and Reminder Services

We provide customers with the option to book their MOT test online through our website or over the phone. When you use our booking system, we collect the minimum amount of personal information required to arrange your appointment, confirm your booking, and send you reminders. Courtesy MOT Reminder Disclaimer

As part of our customer service, we may offer a complimentary MOT Reminder Service. This service is provided solely as a courtesy to help customers remember when their vehicle’s MOT test may be due. To provide this service, we use the contact details and vehicle information you have supplied to us or that we hold following previous work carried out on your vehicle.

Although we take reasonable care to operate the reminder service, we cannot guarantee that every reminder will be generated, sent, delivered, received, or viewed. Reminders may not be issued or received for a variety of reasons, including but not limited to technical faults, system maintenance, software or communication failures, incorrect or outdated contact details, data entry errors, or circumstances beyond our reasonable control.

The MOT Reminder Service should not be relied upon as your only method of monitoring your MOT expiry date. It remains the sole responsibility of the vehicle owner and/or registered keeper to ensure that their vehicle has a valid MOT certificate and that an MOT test is booked and completed before the current certificate expires.

By choosing to receive MOT reminders, you acknowledge that the service is provided on a best-efforts basis and is intended as a helpful reminder only. Except where liability cannot be excluded or limited under applicable law, we will not be responsible for any loss, costs, penalties, fines, inconvenience, or other consequences arising from a reminder not being sent, delayed, not received, or not acted upon.

If you change your vehicle, registration number, email address, telephone number, or any other contact details, it is your responsibility to notify us so that our records can be updated.

How We Use Your Information for MOT Reminders

Where you have requested or agreed to receive MOT reminders, we use your name, vehicle registration, MOT due date, email address and/or telephone number to send you reminders about your upcoming MOT.

We process this information because it is in our legitimate interests to provide ongoing customer care and to remind customers of upcoming vehicle servicing requirements, or, where required, with your consent. You may opt out of receiving MOT reminders at any time by contacting us or by using the unsubscribe option included in our communications.The reminder system only stores the personal information needed to send these messages — such as your name, phone number, vehicle registration, and MOT due date on secure servers. Our third-party is directly linked to an API provided by the DVLA and the official government MOT database to ensure accuracy and compliance.
